Executive, Academic & Examination Administration

Responsibilities
Major Focus Areas:
- Work with the admissions and marketing team to ensure a smooth entry for all new and withdrawing students. Align all computerised systems to ensure the accuracy of the data included in EduSoft, Google, MS Teams, and Toddle for all past and former students.
- Events coordination, including, but not limited to: excursion & camps organisation such as bookings for transport & accommodation, finance arrangement, ministry approval, sporting events, competitions and graduation.
- Prepare analysis reports of data for all surveys, reports and results as requried.
- Arrange purchase of all teaching and learning resources including teacher stationery.
- Check student attendance and report unexplained absences to parents immediately of a morning and alert SLT and parents to students under 85% attendance.
- Coordinate Cambridge exams and all associated activities under the direction of the group exams officer at the school level.
- Complete any other task as as assigned by your direct supervisor.
Specific Guidelines:
- Arrange purchases for school resources as required and ensure purchases are distributed and the procedures for the finance of any orders are followed
- Participate in student recruitment drives such as education fairs, road shows, open days, seminars and other events related to the school
- Obtain information to respond to requests by reviewing documents, and records
- Support the Admin Manager and Admissions Director by receiving phone calls on the front counter and respond as needed
- Complete any task as directed by the Administration Manager
- Manage stationery supplies for teachers and maintain adequate stock
- Maintain records regarding teachers’ attendance and submit relevant report to the HR
- Maintain teachers’ attendance logs and leaves
- Assist in applying/renewing teaching permits from MOE for teachers
- Manage the students’ lockers
- Manage the posting of appropriate and relevant notifications for the school
- Assist new students in their admission process and placement for a good orientation and support for newcomers
- Co-ordinate, check and record all student data to ensure its accuracy
- Coordinate the yearly graduation ceremony
- Arrange CPD for staff as required, especially Cambridge courses
- Organise and store documents in Google, Toddle, MS Teams EduSoft or any other similar platform as required, keeping past and current records in order
- Coordinate courier and delivery services related to academics
- Assist in writing meeting minutes for the school campus meetings
- Assist with photocopy & lamination for teacher resources as required
- Assist with the administration on the front desk where relief is required
- Check student attendance and communicate to form tutors for parent communication when attendance is under 85%
- Ring parents of absent students by 0900 hrs if they have not advised the school of the reason they are absent
- Anaylse any exam, report or survey data as required by the company
- Collect and safely store any examination papers from Cambridge
- Adminster the Primary & Secondary Checkpoints as required
- Prepare teacher and student IDsPrepare car stickers as required
- Supervise the meal plan inquires and liase with the caféteria
- At the local school level, establish detailed procedures to ensure the trouble-free operation of the examination system.
- For internal examinations, ensure that the setting of examination papers, and the procedures are clear, printed and proofread at the appropriate timing
- Ensure the smooth running of the IGCSE and Checkpoint exams in the school for both internal and private candidates
- Follow instructions from the senior exams officer to ensure smooth delivery of examinations at the school level
- Ensure students are clearly given all the necessary relevant information in prepartion for formal examinations well in advance
- Deal with issues relating to exam appeals, remarking and other administrative issues
- Work with enquiries from parents and students, including alumni regarding examinations and reporting
- Receive examination results and certificates and arrange for their issue
- Manage the filing of exam papers and couriers to send exams internationally
- Keep up to date with the necessary policies, procedures, rules and regulations laid down by our examination bodies and notify the SLT accordingly
- Manage the school’s Cambridge Support Hub
- Prepare official documents as instructed by supervisors
- Maintain historical records by designing a filing and retrieval system; keeping past and current records
Requirements
- Minimum 3-4 years working experience
- Strong interpersonal and communication skills
- Professional appearance and disposition
